Coach reference · Lesson Report

Your video's up, made simple

Three things this covers: how to use the link that lands in Cliq after a session, how to find that same link yourself if it doesn't, and what actually happens on the client's end once you hit Submit.

Starting September 1

Only sessions with this form completed to 100% count toward your lesson count. A session delivered without a completed report doesn't count, no exceptions, including no-shows.

This is what keeps delivery consistent across every coach and location, gives Member Success what they need to actually help members hit their goals, and builds the kind of stickiness that keeps members around.

1

Where the link comes from

It shows up in Cliq on its own

Every morning at 7:30 you get a message from the SwingFIT bot listing that day's sessions, each with its own report link already built for that booking. Nothing to request or set up. It lands in the same chat you already use.

If a booking gets added same-day, after that morning message already went out, you'll get a second, one-off ping just for that session. Same link, same form, it just arrives separately.

2

If the message never arrived

The same link sits on the booking in the CRM

Cliq isn't the only place that link lives. Every coaching booking carries its own report link on the record itself. So if the morning message didn't come through, or you're on a machine without Cliq, you can go and get it yourself. That same screen is where you check whether a report has already landed for a session.

1. Search the player

In the CRM, type the player's name into the search bar at the top and pick them from the results.

2. Open Player Booking History

Down the left of their record is the Related List panel. Click Player Booking History and the page jumps straight to it. The number beside it is how many bookings that player has.

3. Click the link on your session's row

Each row is one booking. Find yours by Start Date and Time, then click the link in the Lesson Report Form URL column.

CRM · the two rows without a link are a cancelled session and an evaluation
4. The form opens exactly as it would from Cliq

Booking reference, client, your name, session time and type are already filled in and locked. Nothing to look up, nothing to mistype. Step 3 onward is the same from here.

Rows without a link Evaluations use the separate Evaluation Debrief form. Bay-only bookings have no coach, so there's no lesson report. Cancelled sessions, and anything before 8 August 2026, won't have one either. If a session you actually coached has no link, tell Max rather than working around it. It means something upstream didn't fire.

Opening the link

Most of the form is already done

Tap the link and the Lesson Report form opens with the top section already filled in from the booking: the booking reference, the client's name, your name, the session time, and the session type.

About that first field It shows the raw name "bookingId" instead of a friendly label. That's just how that field is set up behind the scenes. It's locked and correct, nothing to fix there.

Before you fill in the form

Copy the video link from OnForm

The OnForm-Link field needs the actual link to the client's session video. Here's where that link comes from.

1. Search for the client

Open OnForm and search their name at the top. More than one person can share a similar name, so pick their actual profile from the results, not a coach or an unrelated match.

2. Open today's video

Tapping their name opens their library: every session video they've got on file. Find today's session by the date and time under each thumbnail, then tap the ⋮ on that video.

3. Tap Share

That opens a menu for the video. Share is what you want, not Move File or Copy File.

4. Tap the ⋮ in the top right

The Share screen lists people first, that's not what you want. The top-right ⋮ is a second, separate menu, and that's the one with the link in it.

5. Copy Link

This is the link. Go back to the Lesson Report form and paste it straight into OnForm-Link.

Filling it in

What's actually on you to answer

Everything below the locked fields is yours to fill in. Here's what each one is asking for:

Did session happen? *

Two options: Yes, or No-show. Whichever actually happened. A no-show still gets a submitted form, picking No-show doesn't mean you skip the rest of it.

Primary Area / Secondary Area *

What you actually worked on, picked from Technical, Scoring, Skill Acquisition, Mental, or Physical. Secondary is optional if there wasn't a clear second focus.

OnForm-Link *

Paste the client's swing video link from OnForm here. This is the link that goes straight into their email.

Rebooking *

Three options: Rebooked, Attempted-declined, or Didn't-get-to-it. All three are complete, correct answers. "Didn't-get-to-it" isn't a placeholder for later, it's a complete answer on its own. Pick whichever one applies.

Next Focus *

What's teed up for their next session. This line gets quoted directly in the client's email, so write it the way you'd want them to read it.

Coach Notes

Optional. Anything else worth having on record for this session.

Ran a challenge? / Challenge / Result only if applicable

Leave these alone unless you actually ran a challenge that session. If you did: Ran a challenge? is Yes or No, and Result is Pass or Fail.

Hit Submit. That's the whole job. Nothing else to send, forward, or follow up on yourself.

6

After you hit submit

What happens without you doing anything else

Your report saves against that booking

It's logged to the client's session history, tied to this exact booking. The confirmation line on screen means the form went through.

The bot sends you a receipt

Within a minute, in the same Cliq chat as the morning list: "Report logged - Hattie He, 10:00." That's your confirmation it reached the system, not just the form.

The client gets an email automatically

Built directly from what you just typed: your Next Focus line, your Coach Note, and the OnForm link you pasted in.

You're done, no separate message needed

You don't text or email the client yourself. Submitting the form is the only step.

If you want to see it for yourself You don't need to, the receipt covers it. But if you want to look: open the player in the CRM and go to Player Booking History, the same screen as step 2. Your session's row shows a Report_Logged column with the date and time. The Lesson Reports list on that record holds every report filed for that player, including yours.

CRM · a date in Report_Logged means that session's report landed. Bay bookings stay blank — they don't get a report.
Worth knowing The evening check just confirms a report went in for each of your sessions that day. It isn't reading what you wrote, submitting is what counts. From September 1, it's also what makes the session count toward your lesson count.
Didn't get this morning's Cliq message?

Get the link off the booking in the CRM instead, see step 2, and tell Max the message didn't arrive. Don't type a link out by hand.

If it has happened more than once, open the Coach Digest Bot chat in Cliq and look for a Subscribe button at the bottom. If it's there, tap it. An unsubscribed bot chat goes quiet without telling anyone.

Form looks empty, or the wrong booking loaded?

Don't submit it. Send Max a screenshot of the link and the form so it can be checked before anything's saved incorrectly.

Not sure a report actually went through?

Look for the bot's receipt in Cliq. No receipt a few minutes after you submitted means it didn't reach the system. Tell Max, and don't submit a second one.

To check for yourself, open the player in the CRM, go to Player Booking History, and look at the Report_Logged column on that session's row. A date and time means it landed.

Realized you entered something wrong after submitting?

Message Max rather than submitting again. A second submission creates a second report against the same booking.
