Unpaid Memberships: Membership Bot Now Messages You Daily

LIVE FROM 16 JULYSystem ID: DUNTEAM

What it is

Every morning at 9:00, Membership Bot DMs you in Cliq with your members whose membership payment has just failed — the exact amount owed and a ready-to-send card-update link for every one of them. Only new misses (from 16 July onwards) appear; older balances are handled separately and never show up here.

What you do

Contact the member the same day, send them the link while you're chatting, they update their card, done. Payment collects and the name drops off tomorrow's list by itself.

Why it matters

Until now nobody owned the chase — some members sat unpaid for over two months without a single call. From now on, every unpaid membership has a named owner from day one: you.

⏱ The one rule that matters: links live for 1 hour

Every card-update link expires 60 minutes after it's created (a Zoho security limit) — and the member has to use it inside that window too. So send it when the member is actually responding. Need a fresh one at any time of day? Open the member's record in CRM (Memberships) and tap the "Update Card Link" button — new link, instantly. Never save a link for later.

The message you'll get

One DM, only on mornings you have open cases. No cases = no message — silence is good news.

When it arrives, do this
  1. Message or call the member the same day. Keep it warm — most of the time it's an expired card, not someone avoiding us.
  2. Send the card-update link from the DM while they're responding. One tap for them, payment collects automatically once the card is in.
  3. Conversation happening later in the day? Pull a fresh link from the "Update Card Link" button on the member's CRM record — the morning link will have expired.
  4. That's it. No logging, no ticking boxes — when the payment lands, the member disappears from tomorrow's list automatically.
The 10-day window

A case stays on your list for the first 10 days — your window to get it sorted. From day 11 it moves to Akash's escalation list and stays there until it's paid or cancelled. Akash also picks up cases with no salesperson attached (online self-signups), so nothing is ever invisible to everyone.

Timeline

Live now, since 16 July. The system only tracks payments missed from that date onwards, so your first message arrives whenever one of your members has a new failed payment. No message = none of your members owe anything new. (If you got a couple of oddly formatted messages on launch day — that was final testing, all fixed.)

Good to know

The list rebuilds itself from Zoho Billing every morning — pay today, gone tomorrow. When a member updates their card through your link, the payment collects automatically on the next billing retry, usually within a day. Amounts under AED 100 are filtered out, old pre-July balances never appear, and nothing here contacts members automatically — every member conversation is yours, personally.
