Member Events — Internal Launch Brief

What: Member Events is small-group coaching. It's a new part of membership now. It's not a one-time promo.
When: Studio City starts first. DIFC comes next. Members get an email first. Past and non-member clients get a second, separate email.
Who gets it: Coaching Members get it free, with no limit. Practice Members get 2 clinics and 2 group classes free each month. After that, they pay. Full table below.
How signup works: Members sign up on the Member Events page, on their own. Member Success can also sign a member up there, on the same page, if a member needs help. Cancels go through Member Success only — see "How booking actually works" below.

What Member Events actually is

A group session is a clinic or a group class. It is not a coached lesson. This is the main thing to get right. Keep it in mind when you talk to members, or when you log anything.

The open-seat rule: a free session is a chance to book. It is not a promise of a seat. We give out more free spots than we have seats for. That's on purpose, not a mistake. This is why we always say "if a spot is open" — to staff and to members.

Practice Members get 4 free spots a month in total: 2 clinics plus 2 group classes. After that, they pay. Coaching Members have no monthly cap, but read the fair-use rule below.

Fair use — Coaching Members
The plan says "no limit." But there's a soft rule too: 2 sessions a day per member. This stops one member from taking every slot. Don't quote this number to a member — just apply it if it comes up.

Why it's free for Coaching Members only
Group sessions are free with no limit for Coaching Members only. This stops Practice Members from buying the cheap plan just for free classes, and skipping coaching.

A Practice Pass holder's "no coached lessons" rule is about one-on-one lessons only. They still get group sessions.

Studio City starts first. DIFC comes next. The goal is 2 to 3 sessions a day. That will take time — it won't happen on day one.

Emails members get

Every email is signed "Akash and the Member Success team" and has our WhatsApp number for questions.

How booking actually works right now

Members sign up on their own. They go to the Member Events page and sign up there — no staff step is needed. If a member can't sign up on their own and needs help, Member Success can sign them up too. Staff use that same Member Events page to do it.

Once someone signs up

Member Success visibility	Check the campaign in the system to see who signed up for each event. That's the place to look before you answer a "did I get in?" question.
Confirmation	An email confirms the spot right away.
Reminder	A reminder email goes out 48 hours before the session.
Rules in those emails	Same rules as the Member Events page. Don't tell a member something different.
Cancelling a spot	There's no self-serve cancel yet. The member must contact Member Success, and we cancel it for them.

FAQ

Is a group session the same as their coached lesson?

No. It's separate. It does not use up their lesson plan. Make this clear if a member asks.

What if a session is full?

That can happen. We offer more free spots than seats on purpose. Point them to the next open session on the Member Events page.

Do Practice Members get free guests?

Yes. Since 12 Aug, Practice Members get the same guest deal as Coaching Members. That's 2 free guest spots a month, then 50 AED. Practice Pass and pay-as-you-go buyers get no free guest spots. A guest deal is a membership perk. A one-time pass doesn't carry one.

Can a Coaching Member book every open slot?

The plan says no limit. But there's a soft rule of 2 sessions a day, to stop one member from taking every slot. Don't quote this number to a member — just apply it if it comes up.

Why is it free for Coaching Members but capped for Practice Members?

This is on purpose. Free, no-limit access is worth more. A 14-day booking window beats 7 days too. Together, that's part of why Coaching costs more. If group classes were free for everyone, there'd be no reason to pay more.

Can someone book a spot for a person who isn't a member at all?

Yes, at the pay-as-you-go rate: 197 AED per spot, booked up to 7 days ahead. No guest deal applies — they're not a member's guest, they're buying outright.

Does a Practice Pass holder's "no coached lessons" rule block group sessions too?

No. That rule is about one-on-one lessons only. A Practice Pass holder still gets 2 free clinics and 2 free group classes. This is per pass, not per month. Their pass runs 15 or 30 days. After the free spots, it's 197 AED each.

Where should members go to see what's on?

The Member Events page. That's the one place with the real schedule. Don't quote future sessions from memory — the schedule can still change week to week.

A member wants to cancel a spot — how?

There's no self-serve cancel yet. They need to contact Member Success, and we cancel it for them. Don't send them to the website or an email link to cancel — that doesn't exist yet.

How do I check who signed up for a session?

Check the campaign in the system. It shows who signed up for each event. Members also get a confirm email right away. A reminder email goes out 48 hours before too, so most won't need to ask. But check the campaign if someone does.
